Privacy Policy for BoxLog
Effective Date: October 3, 2026
BoxLog (the "App") is operated by Eugenio Keller Puente (freelancer, Spain). I value your privacy and designed this App to minimize data collection. This Privacy Policy explains what data is handled, how it is used, where it is stored, and your rights under applicable laws (including GDPR).
1. Who is the Data Controller?

2. What Information the App Handles
BoxLog is a personal inventory app where all information is entered or captured by you, the user. The App does not generate or collect personal data automatically.
- Box & Item Data: Your boxes, items, labels, categories, and photos are stored on your device. If you turn on iCloud sync in Settings (optional, off by default), they are also synced privately via Apple's iCloud (CloudKit). Only you can access this data through your Apple ID.
- Photos: Photos you take or select are stored on your device (and in your private iCloud database if iCloud sync is on). They are never shared with third parties except during AI scanning, and only after you accept it (see Section 3).
- Voice: When you dictate a box or search by voice, the audio is processed by Apple's speech recognition (on your device whenever possible) to turn it into text. BoxLog does not record, store or send your audio anywhere.
- Usage Counters: How many free AI scans and dictated boxes you have used, and your yearly BoxLog Pro scans, are stored on your device and synced across your devices using Apple's iCloud Key-Value Store.
- Purchases: The BoxLog Pro in-app purchase is processed entirely by Apple under their own terms and privacy policy.
The App does not collect analytics, advertising identifiers, crash reports, IP addresses, or device identifiers.
3. AI Object Recognition
When you use the AI scan feature, the photo of your box is sent to a secure server operated by Kubographics, which forwards it to OpenAI's API for object detection. This process is used solely to identify the items visible in the photo and return a list of detected objects.
- No storage: The Kubographics server does not store, log, or retain your photos. It acts only as a pass-through relay.
- OpenAI processing: OpenAI processes the image to generate a list of objects. OpenAI's data usage policies apply to this processing. You can review them at openai.com/policies/privacy-policy.
- Approximate weight: With the same permission, the App sends the list of item names in a box (text only, no photo) through the same server to OpenAI to estimate the box's approximate weight. Nothing else is sent, and nothing is stored on our server.
- Your permission first: Before the first photo is sent, the App shows a screen explaining this and asks for your permission. You can withdraw it at any time in Settings → "Scan with AI (OpenAI)".
- Not used for training: OpenAI does not use data sent through its API to train its models, and keeps it for a maximum of 30 days for abuse monitoring before deleting it.
- Optional feature: AI scanning is entirely optional. You can always dictate or type the contents of a box without sending any photo externally.
4. Permissions
BoxLog requests the following permissions, only when needed:
- Camera: To take photos of your boxes for inventory purposes.
- Photo Library: To select existing photos from your gallery.
- Microphone & Speech Recognition: To dictate the contents of a box and to search by voice.
No other system permissions (location, contacts, tracking, etc.) are requested.
5. Purchases & Payments
BoxLog is free to download. The free version includes unlimited manual boxes and search, 3 dictated boxes and 2 AI scans. BoxLog Pro is an optional one-time in-app purchase that unlocks unlimited dictation and 100 AI scans per year (renewing every year from the purchase date). There are no subscriptions. Purchases are processed by Apple under their own terms and privacy policy. Prices may vary by country, and refunds are handled solely through Apple: Apple Support.
6. Storage & Security
- Local & iCloud Storage: All box and item data is stored locally on your device and synced to your private iCloud account via Apple's CloudKit.
- Encryption: Data security relies on Apple's platform standards for iOS and iCloud, including encryption in transit and at rest.
- Deletion: Data is removed when you delete it within the App or uninstall the App. iCloud data can be managed through your Apple ID settings.
7. Children & Age
BoxLog is designed for general use. The App does not intentionally collect data from children and does not require personal information to function. All content is created and stored privately by the user.
8. Your Rights (GDPR)
Under GDPR, you may have rights to access, rectify, or erase your data. Because BoxLog stores all data locally and in your private iCloud account, you can manage it directly by deleting boxes/items within the App or uninstalling it. For any concerns, contact: contact@kubographics.com.
You also have the right to lodge a complaint with your local data protection authority. In Spain, this is the AEPD (Agencia Española de Protección de Datos).
9. Cookies & Website
The App does not use cookies. The BoxLog page on kubographics.com does not set tracking or analytics cookies.
10. Changes to this Policy
I may update this Privacy Policy to reflect changes in features or legal requirements. The "Effective Date" above will always show the latest version.
